Customise your invoice
Pick a template, drop in your logo, hide fields you don't need, match your brand. Set it once, and every invoice you send afterwards inherits the look.
- An invoice logo file, if you want one separate from your workspace logo
Why this is worth setting up first
An invoice that looks like your practice helps clients recognise and trust it. Set the branding once and every future invoice inherits the look, rather than a generic default.
Pick a template
Settings → Billing → Invoices, then Edit under Invoice templates. On the Theme tab, pick one of three templates:
- Simple: a minimal layout with plenty of white space, and the safest default.
- Contemporary: a stronger header block.
- Modern: a more editorial look.
The preview shows each one with your workspace details and sample client data.
Logo and theme colour
The Theme tab is also where you upload your invoice logo and pick a Color theme. The invoice logo is separate from your workspace logo; it's often a more formal wordmark, 'Brunswick Family Practice' rather than just the icon. If you don't add one, invoices use your workspace logo and colour.
Match the colour to your other client-facing surfaces: booking page, portal, emails.
The Theme tab (template, colour and logo) needs Plus or Advanced. Choosing which fields show works on every plan.
Fields and sections
Fields controls what's actually printed. Hover any section (Invoice details, Bill to, Client, Practitioner, Provider) and click the eye icon to hide or show it. Within each section, the Fields dropdown picks which fields appear, and the X removes individual items.
Use it to drop what you don't need, such as the provider phone on a one-person practice. Click Save when you're done; changes apply to invoices you create from now on.
Tick these off in your own workspace before moving on.
Five invoice setups to start from.
Pick the closest one and adapt it.
Simple template. Practice logo at top. Hide provider phone (the email is enough). Theme colour matches the website.
Modern template. Practice logo. Practitioner section shown, so families seeing more than one clinician know who they're being billed for.
Put the organisation in Bill to and hide the client's contact details.
Simple template with only Bill to and Client shown. Everything else hidden.
Contemporary template with your practice wordmark as the invoice logo, so the name is the first thing clients see.
Where do I customise my invoice?
Settings → Billing → Invoices → Edit under Invoice templates. Theme holds the template, colour and logo; Fields controls what's printed.
What invoice templates are available?
Three: Simple, Contemporary and Modern, chosen on the Theme tab. The structure is fixed within each; you customise logo, colour, fields, and section visibility.
Can I upload a separate logo for invoices?
Yes, Theme → Logo. It's independent of your workspace logo, which is useful when invoices need a more formal wordmark than the in-app sidebar. Changing it needs Plus or Advanced.
How do I hide a field I don't need?
Fields → hover the section (Invoice details, Bill to, Client, Practitioner, Provider) → click the eye icon to hide it. Use the Fields dropdown inside each section for individual fields.
Can I have different invoice setups for different services?
No, you customise one invoice template, and it applies to every invoice in the workspace. Use the field controls to handle most variation; when you're billing someone other than the client, the difference usually shows up in the Bill to section, which you can edit per invoice.
Will my changes apply to invoices I've already sent?
No, changes apply to invoices you create from now on. Invoices you've already created, sent or not, keep the look they were created with, so historical PDFs stay consistent.
How customisable is the layout itself?
Logo, colour, field visibility, and section visibility are all editable. The underlying layout (where the line items sit, footer position, etc.) is fixed to the chosen template, the goal is consistency, not full design freedom.
