Use Carepatron AI Scribe
AI Scribe transcribes the session and turns the transcript into a structured note. You review it, then sign and complete it. Designed to cut down on admin time per client.
- A note template with an AI smart prompt, set as your Default template in the AI Scribe settings (lesson 3.7)
- A Carepatron video call, if you want AI Scribe to run there instead (lesson 3.3)
- Your microphone allowed and a test session run, so your first real session works (lesson 3.5)
Two paths in, same destination
- In a Carepatron video call: when you host, the AI Scribe panel opens on the right. Click Start transcribing, or set Auto-transcribe meetings to Auto-on for all sessions so it starts for you. When the call ends, a note and transcript are created on the client's record.
- In person, or on another video tool: open the client's record, click New note, then Start AI Scribe. In the Before you start window, choose a source (Live Scribe for an in-person session, Telehealth for a call on another video tool, Live Dictation to dictate, or Upload for a recording), check your microphone, and click Start AI Scribe. Telehealth shares your call's audio with AI Scribe, so it needs Chrome or Edge on a computer. From a booked appointment you can also click Start AI Scribe on its Overview tab, which starts recording straight away with the microphone shown under the button.
Either way you end up with a transcript plus a draft note to review before signing. Before you start, get consent from everyone in the session. Lesson 3.5 has wording you can adapt.
Tune the output
Click the gear icon in the Start AI Scribe window:
- Default template: the template your notes come back in. Only templates with an AI smart prompt appear here (Lesson 3.7).
- Default output language: what language the note is written in, regardless of the conversation's language.
- Refer to Client as and Refer to Practitioner: how the note names everyone.
- Perspective: 1st person, 3rd person, or clinical format.
- Verbosity: concise, standard, detailed, or super detailed.
After the note is generated, Regenerate template reruns it, and Generate another makes a second note from a different template, for example a SOAP note and a summary from the same session.
Ask AI inside the note
Once the note exists, Ask (next to Start AI Scribe) opens a chat panel that uses the note as context. Ask for what you need: 'summarise this for a discharge letter', 'draft a treatment plan from the goals in the transcript', 'extract the key risks discussed'.
You can also attach up to three files (PDF, image or plain text, under 5MB each) as extra context, then insert the response into the note or copy it elsewhere.
Always review before signing
AI output is a draft. Always read it. AI is good at structure and summarisation, but it's not a clinician. Treat the generated note like a junior colleague's first pass: edit for accuracy, add the clinical judgement it couldn't make, then click Sign and complete.

Does AI Scribe work in Carepatron Telehealth?
Yes. When you host, the AI Scribe panel opens on the right of the call. Click Start transcribing, or set auto-transcribe to on for all sessions. When the call ends, a note and transcript are created on the client's record in your default template.
Can I use AI Scribe for in-person or non-Carepatron video sessions?
Yes. Open the client's record, click New note, then Start AI Scribe. Choose Live Scribe for an in-person session, or Telehealth for a call on another video tool (Chrome or Edge on a computer), then start. When you finish, Carepatron drafts the note from the transcript.
How accurate is the AI?
It's strong on structure and summarising, but always review the AI output before signing. AI Scribe is a draft assistant, not a substitute for clinical judgement.
Can I delete a transcript?
Yes. In the note, open the Chapters and transcript tab, then Transcript options (⋯) → Delete entire transcript. It moves to Trash. You can also delete single lines.
What can I change in the AI Scribe settings?
Default template, Default output language, how the note refers to the client and practitioner, Perspective (1st person, 3rd person or clinical format), and Verbosity (concise, standard, detailed or super detailed). To apply a change to a note you've already generated, use Regenerate template.
Is AI Scribe HIPAA-compliant?
AI Scribe is part of Carepatron, which is HIPAA and SOC 2 compliant.
Which plan includes AI features?
AI note-taking is included on every plan, Free included. Free has a lifetime allowance of 1 million AI tokens; Plus and Advanced have no cap. If Free runs out, you'll be asked to upgrade to keep using AI.
