Run a Telehealth video call
Carepatron's built-in video calls work in the browser, no install required for clients. Clients wait in the lobby until you start, the join link is in their email, and AI Scribe can take notes in the side panel.
- An appointment booked for the client, so they have a join link in their confirmation email or reminder (lesson 3.1)
- Camera and microphone permissions granted, the first time you join in a new browser
Start the call from the calendar
Open the appointment on Calendar and click Start video call. Clients join from Join video call in their email, or Join call in their client portal.
The first time in a new browser, grant camera and microphone permissions: Safari under Settings → Camera/Microphone → Allow, Chrome via the settings icon in the address bar next to the refresh icon. Refresh the browser after granting, then click join again.
The lobby
There's nothing to set up. If a client opens their link before you've started, they wait in the lobby and Carepatron lets you know they're waiting to join. Once you click Start video call, they can come in.
If someone who wasn't invited opens the link once everyone invited is already in the call, they see Ask to join. You choose Admit, Deny or Admit all from the Waiting to join panel.
Group video calls need Plus or Advanced. On Free, calls with three or more people end after 10 minutes.
AI Scribe alongside the call
When you host a call on a computer, the AI Scribe panel opens on the right. Click Start transcribing. When the call ends, Carepatron creates a note and transcript on the client's record. If you'd rather not start it each time, set Auto-transcribe meetings to Auto-on for all sessions. Click Minimize to tuck the panel away.
AI settings (template, output language, perspective, verbosity) are under Scribe settings. AI note-taking is included on every plan; Free includes a lifetime allowance of 1 million AI tokens.
Client experience and equipment
Clients don't install anything. They click the join link in their confirmation email or reminder, or open the appointment from their portal dashboard and click Join call. The link in the current appointment's email is always the safe one to use.
Bandwidth: 0.35 Mbps minimum for a stable call, 10 Mbps is comfortable, and a practice running several simultaneous calls should plan for 35 Mbps+.
Tick these off in your own workspace before moving on.
Five ways to run telehealth.
Telehealth is one feature; how you use it varies a lot. Pick what fits.
Auto-transcribe set to Auto-on, default template SOAP. The draft note is waiting after the call ends.
Plus or Advanced: every client is invited to the appointment. Anyone who wasn't invited has to Ask to join, and you decide whether to admit them.
AI Scribe left off. You write the note yourself straight after the call.
15-minute telehealth follow-ups with AI Scribe off. The client joins from the email link, you both wrap up, and the note is one paragraph.
Plus or Advanced: invite a stenographer as a participant, captions stream via the sidecar method for hard-of-hearing clients.
Which link should my client use to join?
The join link in the current appointment's confirmation email or reminder. They can also open the upcoming appointment from their client portal dashboard and click Join call.
How do I grant camera and microphone permissions in Safari?
Safari → Settings → Camera → Allow, then Microphone → Allow, then refresh the browser. In Chrome, click the settings icon in the address bar (next to the refresh icon) → Camera and Microphone → Allow.
What internet speed do I need for a good telehealth call?
Minimum 0.35 Mbps; 10 Mbps is more comfortable. For multiple simultaneous calls in one office, plan for 35 Mbps+.
Can I turn off the lobby?
There's no setting for it. Invited clients who arrive before you wait in the lobby, and they can join as soon as you start the call. People who weren't invited have to ask to join once everyone invited is in.
What's the Ask-to-Join feature?
If someone who wasn't invited opens the link once everyone invited is already in the call, they see Ask to join. You review them in the Waiting to join panel and choose Admit, Deny, or Admit all.
Is real-time captioning available?
Yes. Carepatron supports CART (Communication Access Realtime Translation) using the sidecar method. A stenographer joins the call as a participant and streams captions through their own service, which the client opens in a second window. Because the stenographer is an extra participant, you'll need Plus or Advanced, which include group video calls.
Does AI Scribe work during a Carepatron telehealth call?
Yes. When you host, the AI Scribe panel opens on the right of the call. Click Start transcribing, or set Auto-transcribe meetings to Auto-on for all sessions. AI note-taking is on every plan; Free includes a lifetime allowance of 1 million AI tokens.
