Lesson 1.1 3 min

Take the tour

A short orientation pass. Where things live, what each area is for, and what to set up first, so the rest of these lessons make sense in context.

Outcome
You know which half of Carepatron you're in: day-to-day work in the left sidebar, configuration in Settings.

Why the order matters

Carepatron is wide: calendar, clients, notes, billing, telehealth, insurance, workflows. Set things up in the wrong order and you'll hit 'pick a service' or 'choose a location' prompts before those things exist.

This course walks the order that works: branding, then locations, then services, then team. Get those right and every later lesson has the right scaffolding underneath.

Your left sidebar

Everything you do day to day lives in the left sidebar. The items you'll use most:

  • Get started walks the workspace owner through setup during the first 14 days: locations, services, your team, clients and online payments.
  • Calendar for appointments.
  • Inbox for email and secure messages with clients and your team.
  • Clients for client records and notes, and Contacts for referrers, family members and other people around your clients.
  • Billing for invoices and payments, plus insurance claims in the US.
  • Templates for forms and note templates.
  • Workflows for automations and reminders.

What you see depends on your access. A team member without full workspace settings access won't see Your team, for example. You can hide anything you don't use with Customize menu.

Settings vs day-to-day work

Day-to-day work (calendar, clients, notes, invoices) lives in the left sidebar. Setup lives in Settings:

  • My Profile holds your details, theme, MFA, your own services and availability, and connected apps like Zoom and your calendar.
  • Workspace Settings holds your practice details, branding, subscription, custom fields and client messaging rules.
  • Scheduling holds locations, services and online booking.
  • Billing holds Stripe, payment settings and your invoice template.

MFA is under My Profile → Details, and it's well worth turning on for any account that holds clinical records.

Logins and the mobile apps

There are three ways to log in at app.carepatron.com/Login: email and password (MFA optional), Google, or Apple.

The mobile apps are on iOS and Android. Search 'Carepatron' in the App Store or Play Store and use the same login. Calendar, client records, and notes all work on mobile.

If your workspace includes a sample team member called Wendy Smith, she's there so you can explore the platform before inviting real teammates. Remove her any time from Your team.

Check it worked

Tick these off in your own workspace before moving on.

Worth doing

Five things worth doing in your first ten minutes.

Quick wins before you go any deeper. Each takes under a minute.

Turn on MFA

Go to Settings → My Profile → Details → Multi-Factor Authentication. It takes a minute and it protects your clients' records.

Install mobile

Grab the iOS or Android app, so your calendar is with you wherever you are.

Meet Wendy

If your workspace includes Wendy Smith, she's a sample team member for exploring the platform. Poke around with her, then remove her from Your team.

Pin Settings

Locations and services live under Settings → Scheduling, and branding and your subscription live under Settings → Workspace Settings.

Find the Help icon

It's at the lower left of the app. Ava, our AI assistant, answers first, and you can type 'talk to a person' at any time to reach the support team.

Common questions
Where do I get help inside the app?

Click Help at the lower left of any page. Ava, our AI assistant, answers first and can point you to the right article. If you'd rather talk to someone, type "talk to a person" and someone from the support team will reply in the same chat.

Is there a mobile app?

Yes, on iOS and Android. Search 'Carepatron' on the App Store or Play Store. Same login as the web app. Calendar, client records and notes work on mobile; some Settings screens are easier on desktop.

What's the Wendy Smith account I see in my workspace?

A sample team member included in new workspaces so you can explore Carepatron before inviting real teammates. If she's in yours, remove her from Your team when you're done.

Can I use multi-factor authentication?

Yes. Settings → My Profile → Details → Multi-Factor Authentication (MFA). Available with email/password login. Strongly recommended for any account holding clinical records.

How do I log in with Google or Apple instead of a password?

From app.carepatron.com/Login, choose Log in with Google or Log in with Apple and follow the prompts.

I forgot my password. How do I reset it?

From the login page, choose Forgot password and we'll email you a reset link. If you signed up with Google or Apple, log in with that provider instead; there's no password to reset.

Can I share a workspace with my team?

Yes. Inviting your team is Lesson 1.5. Every team member uses their own login, with permissions set by the workspace owner.
